This statement explains the privacy and the data protection practices which apply to Northview Property Management Ltd

Our aim is to safeguard our users’ privacy whilst providing a personalised and valuable service.  Collecting personal information is necessary if we are to satisfy the expectations and requirements of our users, e.g. by communication with them and providing a first-class service.  We appreciate that you do not want the personal information you provide to us distributed indiscriminately and here we explain what information we collect, what we do with it and what controls you have

At Northview Property Management Ltd we are committed to protecting your privacy, we follow strict security procedures to ensure your personal information is not damaged, destroyed or disclosed to a third party without your permission and to prevent unauthorised access.  The computers that store the information are kept in a secure facility with restricted physical access and we use secure firewalls and other measures to restrict electronic access.

WHAT INFORMATION WE MAY COLLECT AND HOW WE USE IT

As a business we collect, use, store and transfer different types of personal data depending on who you are. 

If you are renting or letting a property through us, we collect and use your personal data in order for us to provide you with our services. The personal data we collect and use may include: 

  • Your Identity Data (name, marital status, title, date of birth, gender, purchases made by you, your interests and preferences, feedback and survey responses)

  • Contact Data (billing address, delivery address, email address and telephone numbers)

  • Financial Data (bank account and payment details)

  • Transaction Data (details about payments to and from you and other services you have purchased through us)

  • Technical Data (IP address, login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform, identification number, online identified, location data and other similar identifying information required for the customer’s device(s) to communicate with websites and applications on the internet)

  • Usage Data (how you use our website products and services, through and from our site (including date and time), download errors, lengths of visit to certain pages, page interaction information, methods to browse away from the page and any phone numbers you use to call us)

  • Marketing and Communications Data (your marketing preferences from us and our third parties and your communication preferences)

HOW IS YOUR PERSONAL DATA COLLECTED?

We use different ways to collect data from and about you including:

  • You may give us your Identity, Contact and Financial Data by filling in forms or by corresponding with us by post, phone, email or other means. This includes personal data you provide when you:

  • apply for our services

  • request marketing to be sent to you

  • telephone our offices 

We may receive personal data about you from various third parties and public sources as set out below:

Identity and Contact Data from data brokers such as but not solely

  • Facebook based inside the EU

  • Agents’ software inside EU

  • Identity and Contact Data from publicly availably sources such as Companies House and the Electoral Register based inside the EU.

FROM COMPLETION

Our files will be kept for a period of 7 years as required for possible tax enquires

GENERAL INFORMATION

Any non-personal information such as IP address, pages accessed and the files downloaded will only be used to determine how many individuals use our side, how many people visit on a regular basis, which pages are most popular etc.  This information does not tell us anything about who you are or where you live.

Our website may contain links to third party sites we have no control over, if you visit those sites, you should check you are happy with their own privacy policies and terms of use before providing any personal information. In addition, if you linked to our website from a third party, we cannot be responsible for the privacy policies and practices of that third party site.

YOUR ACCEPTANCE

By using our website of services, registering with us as an applicant either directly or via a portal or as a Landlord or Tenant you consent to the collection and use of information by Northview Property Management in accordance with our privacy policy.  If you do not agree to this policy, please do not use our site of our services.

YOUR RIGHTS

Any personal information submitted is treated in accordance with the Date Protection Act 1998 and the update of 25th May 2018 to the new GDPR.  To find out more about your entitlements under this legislation visit the Information Commissioner’s web site at  https://ico.org.uk

You have the right to request a copy of all data held and also request the removal of such data assuming it does not have to be held to comply with other regulation. 

You have the right to complain to the ICO if you believe we have not acted according to the regulations
